If you have a zero deviation tolerance from standard terms, or at least want to make sure that approval is enforced in such cases before signing, well then you’re in luck. With the native automation builder inside Contractbook, you can configure custom contract flows that ensure appropriate document organization, obligation management, and everything else, that a proper CLM needs to offer. The following steps will guide you in how to configure an approval flow that makes sure your legal department is always notified in case of any deviation from standard terms.
2.1 — Create a new automation
Build automation that triggers when a draft is updated; this is the equivalent of clicking “Save changes”. If sales reps aren’t supposed to change anything but need full access in order to share a draft externally — then you need this.
2.2 — Configure automatic approval task
When changes are saved where no changes are really allowed to be made, then you know something’s off — and that’s why you auto-generate an approval task that blocks the signing process until approved by assigned people.
2.3 — Make an update to a generated draft
With the approval task automation published, it’s time to test the flow by making an update and saving changes on a draft created from the template.
2.4 — Initiate signing on an updated draft
After having saved changes, which triggered the automation to create an approval task, try to scroll down and initiate the signature process. This is now blocked.
2.5 — See details on generated approval task
Refresh the page if you haven’t already and see that your task has been created in the sidebar menu. If you don’t see this task, then go check the activity log on the automation.
2.6 — Find your tasks overview
At last, go check your tasks overview, which gives you a better overview of all the tasks that are relevant to you. Your approval tasks will also appear on this view.
